Many scholarship recipients find the process confusing at first. In an attempt to make things easier, we have created some helpful tips. Please print out for future reference:
- Read your contract thoroughly and return to WECA promptly.
- Call us or your school to find out what classes are available in your area.
- You must provide your counselor with information about courses that you are enrolling in EACH SEMESTER. We cannot authorize payment and/or reimbursement until you have told your counselor the names of the courses you are taking, the course numbers, the number of credits, which semester you are enrolled, and the school you are attending.
- Notify your counselor at least one month prior to the start date of your class so that an authorization for direct billing to pay for your class can be sent. Notice received with less than one month's notice will require you to pay for the class and follow the reimbursement process.
- Plan ahead and allow 4-8 weeks to receive reimbursements for books, tuition and release time. We process forms in the order that they are received. Call your counselor if more than two months have passed since you turned in your reimbursement forms and receipts.
- Prior to the beginning of coursework each semester, assess the courses you are taking and your expected workload. You can also use this opportunity to arrange your Release Time for the semester. Careful planning of your semester can ensure your educational success while still being able to give the most you can to your program and the children you care for.
- Contact the school registrar and your instructor immediately if you are dropping or withdrawing from a class that you have registered for. If you do not officially drop or withdraw by contacting Registration and your instructor, you will be responsible for the tuition for the course and/or end up with a failing grade. It is always a good idea to request a withdrawal in writing from Registration. After you have officially withdrawn from the class, call your counselor to discuss next steps.
- Submit a copy of your grade reports to your counselor upon completion of each class.
- Find a central location where you keep copies of all your T.E.A.C.H. materials. Keeping things like your contract, reimbursement forms, copies of receipts that you have sent to us, tip sheets and other important documents will make the scholarship process go smoothly.
- Make sure you have applied to The Registry and provided this information to your counselor.
- Notify WECA immediately if your name, address, or phone number changes.
- Feel welcome to check in from time to time.
